Paper vs digital stamp cards: an honest comparison for small businesses

Paper stamp cards have lasted because they are simple. The question is not whether they work, but what they cannot do.

Ismael Marcos, founder of TAPPI · 5 November 2026

Where paper still wins

A paper card needs no setup, no phone and no explanation. Everyone understands a row of empty circles. It is cheap to print, staff need no training, and it works in a power cut. For a business that opens a few days a year, or a customer base that does not carry smartphones, paper is a perfectly sensible choice.

Paper also has a physical charm that some businesses rightly care about: a nicely printed card in a wallet is a small advert in itself.

What paper quietly costs you

  • Lost cards. Most paper cards end up in a drawer, a coat pocket or the bin before they are full, and with them the reason to come back.
  • Copied stamps. A rubber stamp can be bought online, and a hole punch is a hole punch. Few customers cheat, but you never know which.
  • No idea who your regulars are. A paper card tells you nothing: not how many are out there, not who has stopped coming, not who is one stamp away.
  • No way to reach anyone. When you have a quiet Tuesday, there is nobody to tell.
  • Friction at the till. Finding the stamp, finding the card, finding the right box, while a queue waits.

What changes with a digital card

A digital stamp card does the same job as the paper one: a stamp per visit, a reward when it is full. The difference is where it lives. In Apple Wallet or Google Wallet it sits next to the customer’s bank cards, which they never leave behind. Staff scan it in a second, the stamp cannot be faked, and the card updates on the phone straight away.

Because it is digital, it also does things paper cannot. It counts: you see how many cards are out, who comes back and who has drifted away. And it can carry a message to the lock screen, so a reward that is ready or a quiet-hours offer actually reaches people. That last part is the one owners tend to value most once they have it.

Customers do not need an app. They scan a QR code at the counter and tap “Add to Apple Wallet” or “Add to Google Wallet”. That is the whole sign-up.

The honest downsides of digital

  • It costs a monthly fee, where paper costs a print run.
  • A customer without a smartphone cannot use it. Keep a few paper cards behind the counter for them if that matters to you.
  • Staff need a phone or tablet at the till to scan with. Most counters already have one.
  • The first week needs a little effort: putting the QR code where people wait, and asking every customer.

How to switch without upsetting regulars

  1. Honour every paper stamp. When a regular brings their paper card, add the same number of stamps to their new digital card and keep the paper one.
  2. Keep the same number of stamps and the same reward, so nothing feels taken away.
  3. Run both for a month, then stop printing new paper cards.
  4. Put the QR code where people queue, and have staff mention it once per customer.

A good switch is invisible to customers: same reward, same rhythm, just on their phone.
